Microsoft 365
All staff and students, except students registered for Short courses, have access to Microsoft 365, which includes Microsoft 365 Apps for enterprise (Word, Excel, PowerPoint, OneNote, Outlook, Access (PC only), and Publisher (PC only)).
Students, please note:
The following conditions apply to students' use of this service: The students are responsible for backing up the data stored in the MS 365 cloud environment (Outlook and other related cloud applications).
When a student graduates or leaves the University, it is the student's responsibility to back up data. Cloud data will only be kept for 30 days after leaving the University, after which it will be deleted.
Staff, please note:
Backup for Outlook, OneDrive for Business and Teams is in place.
When a staff member leaves the university due to resignation, retirement, or unfortunate circumstances like death, the line manager must liaise with IT to ensure a smooth data transfer. The data will be deleted after 30 days.

How to install Microsoft 365 Apps for enterprise

Go to https://portal.office.com (Click here to follow the sign in procedure.)
Staff: Sign in with your Personified email addres like name.surname@nwu.ac.za or with University#@nwu.ac.za
(e.g. name.surname@nwu.ac.za or 12345678@nwu.ac.za). No password is required at this point.
Students: Sign in with University#@mynwu.ac.za
(e.g. 12345678@mynwu.ac.za ). No password is required at this point. -
You will then be redirected to the NWU’s sign-in option page. Choose Active directory. Your username will display. Enter your University password (Students: the same one used for eFundi; Staff: the same one used for eFundi or eMail).

If I have an older version of Microsoft Office on my computer, can I still install Microsoft 365 Apps for enterprise?
No. All other versions of Office must be removed before installing Microsoft 365 Apps for enterprise. Remember that you will need your product key should you wish to reinstall your previous/older versions at a later stage.
Should I install 32-bit or 64-bit version?
The 64-bit version is installed by default unless Office detects you already have a 32-bit version of Office (or a stand-alone Office app such as Project or Visio) installed. In this case, the 32-bit version of Office will be installed instead.

What about the PCs or Macs in the Computer Rooms, Residences and Libraries?
Don’t install Office 365 in the Computer Rooms as you will use one of your 5 licenses.
You may however access your Office 365 account from a workstation in a Computer Room when working in the cloud.

What is the minimum Resources needed for Microsoft 365 and Office Resources
On how many machines/devices can I install Microsoft 365 Apps for enterprise on?
Enjoy a full, installed Office experience across PCs, Macs, Windows tablets and iPad® and Android™ tablets, and most mobile devices. Each user can install the Office desktop apps on up to five PCs or Macs per user and on up to five tablets and five phones per user.
What happens when a staff member resigns from the University?
When a staff member leaves the University, it is recommended that University information should be assigned to a designated staff member.
- Exchange Online email items can be exported to a .pst file and the .pst file can be transferred to designated staff member for future use.
- A resigned staff member's OneDrive files can be exported to a .zip file and transferred to a designated staff member.
- In case where the resigned staff member is a owner of a MS Team, another owner can be assigned to the MS Team and collaboration can continue.
- If the staff member that resigns, is a manager of a Shared Mailbox, the manager of the Shared Mailbox can be changed to another staff memeber.
What happens when a student graduates or leaves the Unversity?
Graduated students’ Office 365 subscription through the NWU ends upon graduation. Students may then enroll into other consumer or commercial offers available.
When students complete their studies or leave the University, please take your data with you. The University does not keep a backup of student data. You can download your data from OneDrive and export your email items from Microsoft Exchange Online as a .pst file.
Can I forward my NWU email to a private email?
Due to security concerns, it is not allowed to forward a NWU email address to a private email address. This measure is put in place to safeguard sensitive information and prevent unauthorized access to confidential data. It ensures that communication and data exchange remain within the secure confines of the organization's email system, reducing the risk of potential breaches or data leaks.

Prerequisites
- You must have an active NWU University number.
- You have to connect to the Internet once every 90 days to verify that you are still eligible for the program. If you don’t, your subscription will expire.

Manage machines or devices already activated?
You can see how many computers you have activated by signing into the portal.
- Select Install Office, Other install options
- Select View apps & devices
- Click the arrow next to Devices at the Office section. (A list of the devices you have installed the software on will appear.)
To disable a device:
- Click on the Account Manager icon (top right corner) and select My Account
- Select Devices and click the arrow next to the device if you want to disable a device from your list of devices you have installed the software on
- Select Disable Device
