Die rekordsafdeling het in Julie 2017 deel geword van die Rekords, Argiewe en Museum, nadat dit in vorige jare deel was van die afdeling Rekords en Administrasie.
Hierdie departement streef daarna om die rekords van die NWU op 'n verantwoordbare en doeltreffende wyse te verbeter deur die implementering van 'n rekordbestuursprogram wat verwante doelwitte soos ordelike klassifikasie van rekords, behoud en wegdoening, toeganklikheid, sekuriteit en vertroulikheid, opleiding en prestasie en gehaltebestuur in ag neem.
Die Noordwes-Universiteit is afhanklik van hul rekords as korporatiewe geheue om doeltreffend, konsekwent en produktief te funksioneer en om rekenskap te gee van die Universiteit se optrede.
Dit is voorts die beleid van die NWU om te voldoen aan die Wet op die Bevordering van Toegang tot Inligting (No. 2 van 2000) en die breë beginsels van rekordbestuur van die Wet op die Nasionale Argief- en Rekordsdiens (No. 43van 1996), die Internasionale Standaard vir Rekordbestuur (ISO15489) en die Suid-Afrikaanse Nasionale Standaard vir Rekordbestuur (SANS15489) tesame met die Grondwet van die Republiek van Suid-Afrika en ander toepaslike wetgewing.
Dit is die verantwoordelikheid van alle personeel- en studenteleierskap om te verseker dat hulle rekord hou van hulle werk (soos bepaal in die NWU lêerplan en beskikkingskedule) by die NWU en daardie rekords bestuur in ooreenstemming met die NWU Rekordbestuursbeleid.
Skep van amptelike NWU rekords
Die NWU se Reëls vir Rekords-, Argiewe- en Museumbestuur skep 'n gestruktureerde omgewing vir die opstel van rekords van die NWU. Alle amptelike rekords moet op 'n amptelike NWU-stylblad/templaat geskep word. Dit is belangrik dat die korrekte gebruik van die NWU se korporatiewe identitet en die minimum metadata verseker dat die NWU die integriteit en egtheid van Universiteitsrekords kan toets.
Met die skep van 'n rekord is dit die verantwoordelikheid van die rekordeienaar om nakoming in hierdie saal te verseker.
Om hierdie reëls te implementeer, word 'n standaardbedryfsprosedure aan alle personeellede beskikbaar gestel om hulle te lei wanneer hulle rekords van die NWU skep.
Rekords wat nie op die wyse geskep is nie, sal nie as amptelike rekords van die NWU beskou word nie.

Disposal is the action taken when a record reaches the prescribed retention period (as per legislation and/or NWU policy/procedures).
Disposal means either archiving records for permanent preservation OR destroying records as per the proper procedure adopted by the NWU.

In order to manage paper records in physical storage areas, various storage areas are available at the NWU. These are usually situated close to the relevant business entity.
It is extremely important that these storage facilities are managed in such a manner that records will be protected and secure for the retention period.
A procedure for maintaining physical storage areas was made available for these purposes.

Records Management is of utmost importance in order to protect the institutional memory of the NWU. It is therefore suggested that all employees attend Records Management Training.
Records Management training to all NWU staff members is available from the Records, Archives and Museum division. Training dates are communicated on the NWU Intranet to all staff members.
These training dates run concurrently, and all sessions within a specific series must be attended.

The NWU encourages all staff members and student leadership to manage records by electronic means. e-Records are stored on various shared and individual network drives as well as NWU GoogleDrive and NWU Nextcloud.

Records management representatives
All line managers in their respective business entities must nominate records management representatives for the business entity. These representatives are also trained by the Records, Archives and Museum division regarding records management. These representatives are responsible for ensuring compliance with legislation and policy.
Appointment of Records Management Representatives
NWU style sheets
All official NWU documents and records must be created on the official and approved NWU stylesheets, which are available to all staff members. This ensures the correct use of the Corporate Identity (CID) and metadata of the NWU. Using these stylesheets also gives the document/records the required integrity to be evidence of the business activities of the NWU.
